Letting agent software for UK property managers

Hold every managed property, tenancy agreement, certificate and tenant conversation in one compliance record. Priced per property, with no per user or per signature fees.

What agents and property managers get

Landlord and tenant onboarding

Add a client property once, then add tenants per unit or per HMO room. Each tenant gets their own portal, reminders and record.

E-signatures with an audit certificate

Send an agreement for signature to multiple landlords and tenants. The signed PDF carries a stamped audit certificate, at no extra cost per envelope.

Certificate expiry tracking

Gas, EICR, EPC, deposit protection and licensing dates are tracked per property, with a red, amber and green status so nothing lapses on a managed let.

Communication log for the Ombudsman

Every message, document send and download is timestamped, which is the evidence base a PRS Ombudsman complaint will ask for.

Inspections and maintenance

Guided move in, move out and mid term inspections with photo evidence, plus a repair log from tenant report to contractor invoice.

Four nation coverage

England, Wales, Scotland and Northern Ireland each get the right tenancy type, notices and deposit rules rather than English law applied everywhere.

Where RentDocs fits in an agency stack

RentDocs is compliance and document software, not a client accounting package. Agencies typically keep their existing accounts or CRM system for client money and use RentDocs for the paperwork that has to stand up in a possession claim or an Ombudsman complaint: agreements, statutory documents, service evidence and tenant communication history. If you manage your own portfolio rather than other people's, the landlord software page is the better starting point.

Frequently asked questions

Can letting agents use RentDocs for client landlords?

Yes. An agent account can hold every managed property, each with its own tenants, certificates, agreements and communication log, so you can evidence what was served and when for any client landlord.

How is RentDocs priced for agents managing several properties?

Pricing is per property at £5 per month or £50 per year excluding VAT, with HMO rooms charged separately. There is no per user fee and no per signature fee, so adding staff or sending agreements does not increase the bill.

Does it cover the Renters' Rights Act 2025 changes agents have to handle?

It does. Agreements are generated as assured periodic tenancies with no Section 21 references, rent increase workflows follow the Section 13 route, and every document served to a tenant is timestamped for the PRS Ombudsman.

Is it property management software or compliance software?

It is compliance led. You get document storage with expiry tracking, e-signatures, tenant messaging, rent tracking and inspections. It is not a full accounting package, so agents who need client accounting usually run RentDocs alongside their accounts system.

Can tenants and landlords see their own documents?

Yes. Tenants get a portal for their agreement, certificates and messages, and landlord clients can be sent document packs by email or SMS with a download record kept against the property.
