HMO management software for UK landlords
Every room gets its own tenancy, rent and reminders. Your licence, gas, EICR and fire safety records sit once at property level with expiry tracking, so a shared house is no harder to evidence than a single let.
Built around how HMOs actually run
Room by room tenancies
Each room holds its own tenant, rent amount, rent day and reminder schedule. Tenants come and go independently without disturbing the rest of the house.
Licence and safety expiry tracking
HMO licence, gas safety, EICR, EPC, fire alarm and emergency lighting dates are tracked at property level with a red, amber and green status.
Per room agreements and e-signatures
Generate an assured periodic agreement for a single room, send it for signature and store the signed PDF with a timestamped audit certificate. No per envelope charge.
One document pack, many tenants
Serve the gas certificate, EICR and statutory documents to every occupier in one click, with a download record per tenant proving what was served and when.
Inspections of shared parts
Schedule and record inspections of kitchens, bathrooms, escape routes and shared areas with photo evidence, which is exactly what an HMO management regulations challenge turns on.
Council licensing data
Look up mandatory, additional and selective licensing for the property's local authority before you let, with a link through to the council's own scheme page.
HMOs after the Renters' Rights Act 2025
Room lets in England moved to assured periodic tenancies on 1 May 2026. Section 21 no longer applies to them, fixed terms converted automatically, and rent increases run through an annual Section 13 notice rather than a clause in the agreement. None of that replaces HMO licensing, the management regulations or fire safety duties, so both sets of obligations now run side by side and both are evidenced in the same record. The Renters' Rights Act 2025 timeline sets out the dated milestones, and Wales, Scotland and Northern Ireland keep their own regimes inside the app.
Frequently asked questions
Does RentDocs handle room by room HMO lets?
Yes. Set the property type to HMO and each room becomes its own tenancy with its own rent, rent due day, reminders, documents and tenant portal, while the certificates and licence sit at property level so you only upload them once.
How much is HMO management software per room?
RentDocs is £5 per month or £50 per year excluding VAT per let unit, so an HMO is charged per occupied room. There is no per user fee, no per signature fee and no setup fee.
Can it track my HMO licence expiry?
Yes. Licence dates sit alongside gas, EICR, EPC, fire alarm and emergency lighting records with a traffic light status, and you get reminders before anything expires rather than after.
Does it know which councils run additional or selective licensing?
Our council licensing database covers every UK local authority, with the scheme type and a link to the council's own licensing page so you can confirm the current position before you let a room.
What changed for HMOs under the Renters' Rights Act 2025?
Room lets in England became assured periodic tenancies on 1 May 2026, Section 21 no longer applies, rent rises follow the Section 13 route once a year, and the tenant can request a pet. Licensing, fire safety and the HMO management regulations are unchanged, so both sets of duties run together.
