End of tenancy rent statement

Close the tenancy cleanly with one statement that reconciles rent, part periods and the deposit position.

End of tenancy · Updated 5 August 2026

Overview

A final rent statement lists every rent charge and payment for the tenancy, apportions any part period and states the closing balance before deposit deductions are applied.

Why it matters

Disputes at the end of a tenancy are usually arithmetic, not principle. A clear statement settles them in one exchange and supports any deposit claim for unpaid rent.

Legal requirements

  • Charge only rent lawfully due; do not include banned fees.
  • Apportion a part month or week on a daily basis and show the calculation.
  • Account for any rent paid in advance beyond the end date.
  • Provide the statement promptly on request.

Common mistakes

  • Rounding a part month instead of using a daily rate.
  • Missing a payment made by a third party or guarantor.
  • Confusing rent arrears with deposit deductions in one column.
  • Sending figures without the underlying dates.

Practical guidance

  • Export the payment log rather than typing figures from memory.
  • Show the daily rate and the number of days for any part period.
  • Send it with the check-out report so the tenant sees everything at once.
  • Keep the statement for six years after the tenancy ends.

Frequently asked questions

How do I work out a part month of rent?

Multiply the monthly rent by 12, divide by 365 for a daily rate, then multiply by the days occupied. Show the working.

Should rent arrears be taken from the deposit?

They can be, but keep the rent statement and the deposit proposal as separate documents.

How long should I keep it?

Six years after the tenancy ends, alongside the rest of the tenancy file.
